Privacy Policy

This policy explains how The Strategist AI (ABN 58 677 939 301) ("we", "us") collects, uses, discloses and protects your personal information when you use this website and its AI Executive Assistant. We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth) and the Spam Act 2003 (Cth).

What we collect

Contact details you give us — your name and email address.
What you tell the assistant — the questions and messages you send in the chat, and the general topic of your enquiry.
Technical information collected automatically — your IP address and browser/user-agent, and a randomly generated session identifier stored in your browser, which lets us run the chat and recognise the same visit across the pages you look at.
How you reached us — the website or link that referred you, and any campaign details carried in that link (for example, if you arrived from a newsletter, a social post or an ad).
What you did on the site — the pages you viewed and the key steps you took, such as opening the chat, being shown the sign-up card, or starting a booking. We record that these things happened, not the content of what you typed.
Approximate location — the country, state or region and city worked out from your IP address. We do not collect precise location: no GPS coordinates and no postcode.

In our own record of site visits we keep only a shortened version of your IP address plus a one-way code derived from it, not the full address. We keep the full address where you submit your details to us, and briefly in the limits that keep the chat available to everyone.

We do not ask for, and ask you not to share, sensitive financial details (such as your fund balance) through the chat. The assistant gives general education only, not personal advice.

How and why we use it

To answer your questions and provide the assistant's general education.
To follow up on your enquiry and, where you ask, to arrange a session with Grant (his team, including Ces, confirms times — nothing is auto-booked).
To run, secure and improve the website and chat, and to prevent misuse.
To understand how people find and use the site — which links and campaigns bring people here, and which parts of the site get used — so we can make it better. We use this to improve the site, not to build an advertising profile about you.
Marketing — only if you opt in. If you tick the marketing box, we may email you Grant's occasional SMSF strategies and updates. You can withdraw consent at any time via the unsubscribe link in any such email or by contacting us. We do not send marketing without your consent, and giving us your details to make an enquiry is not by itself consent to marketing.

Who we share it with

We share your information with Grant and his team to respond to you, and with the service providers who host and run this website on our behalf: Vercel (website hosting, Sydney), Supabase (database, India), n8n (workflow automation, self-hosted), our AI providers — OpenAI's GPT models (accessed via OpenRouter) generate the assistant's answers, Anthropic classifies and routes messages, and Voyage AI powers search, all in the United States — and Cal.com (bookings, European Union). Some of these providers store or process data outside Australia: in the United States (AI providers), India (database) and the European Union (bookings). We do not sell your personal information.

How we store and keep it

Your information is stored in secured, access-controlled systems and transmitted over encrypted connections. We keep different information for different periods:

Chat conversations — the messages in a conversation are archived when you start a new chat (using "New chat") or after a period of inactivity, and are deleted within about 90 days of your last message.
Visit records — the technical, referral, approximate-location and activity information described above is kept for up to 12 months from your last visit. The parts derived from your IP address are removed after 30 days, and the record of individual steps you took after 180 days. Where a visit led to an enquiry with us, we keep the record alongside that enquiry as a business record.
Your enquiry profile — the details you share and what we learn about what you're looking for (so we can follow up and recognise you on a return visit) are kept as a business record until you ask us to delete them (see below), or until they are no longer needed for the purposes above.

Accessing, correcting or deleting your information

You can ask to access the personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing cecilyn@lyd.com.au. When you ask us to delete your information, we remove your enquiry profile, your contact record, any archived chat conversations linked to you, and the visit records linked to your session. We'll respond within a reasonable time and in line with the APPs.

Cookies and analytics

We use minimal browser storage (a session identifier) to operate the chat. For traffic measurement we use privacy-preserving, cookieless analytics (Vercel Web Analytics and Speed Insights) that set no cookies, do not collect your IP address, and cannot identify you or track you across other websites. We also send that provider basic, non-identifying signals about how the site is being used (for example, that a chat was opened), which carry no personal information. Separately, we keep our own record of visits and key steps, described above, in our own database; it is never used for advertising and is not shared with advertising networks. We do not use advertising cookies.
